World-class Academic Medical Center to Automate Device Data Collection, Conduct Research

PANAMA CITY, Fla.— May 8, 2012—iSirona®, a provider of simplified solutions for medical device integration, today announced that UC Irvine Medical Center will be implementing iSirona’s device connectivity solution throughout its campus. Rated one of “America’s Best Hospitals” by U.S. News and World Report, UC Irvine will use iSirona’s solution to connect medical devices to its Allscripts EMR and export data to its research database.

“We needed an enterprise-wide solution for connecting our biomed devices—one that would enable our patient records to be current and up-to-the-minute,” says Clinical Informatics Manager David Keymel, RN. “iSirona’s software solution is a perfect fit for us as a medical academic center. We’ll be able to use the more timely, accurate device data that iSirona provides to best treat our patients.”

UC Irvine’s desire to export data to its research database was a pivotal consideration. Currently, EMRs grab monitoring data at certain time increments. Yet for research purposes, UC Irvine needs that data in minute or sub-minute intervals. “iSirona can deliver data on a continuous basis,” says Informatics Solution Architect Charles Boicey, MS, RN-BC, PMP, CPHIMS. “Now, we’ll have the capability to provide clinicians with what they want in the EMR—accurate, timely patient data—and we’ll gain data for research.”

UC Irvine plans to use the data for predictive analytics that can help anticipate and possibly prevent negative outcomes. Boicey explains, “Being able to bring in and store vast amounts of data in real time holds promise for things like the early detection of sepsis—something we may be able to identify earlier in a monitored environment.”

UC Irvine Medical Center is scheduled to go live with iSirona’s solution later this year.

About UC Irvine Medical Center
Rated one of “America’s Best Hospitals” by U.S. News and World Report, UC Irvine Medical Center is a world-class academic medical center that focuses on leading-edge technology. The only university hospital in Orange County, Calif., the 422-bed medical facility offers a full scope of acute- and general-care services, including a regional burn center, Level I Trauma Center, neuropsychiatric center, Level III neonatal care unit and a National Cancer Institute (NCI)-designated comprehensive cancer center.

Seamless link between world’s leading electronic forms on demand solution and MEDITECH Scanning & Archiving creates a paperless process. Facility also gets information to clinical floors faster and improves patient safety with barcoded armbands.

Angleton Danbury Medical Center, an acute care facility based in Angleton, Texas, needed a way to get forms into the MEDITECH Scanning and Archiving document management application without paper, to standardize patient forms and to create barcoded wristbands. Hospital administrators selected Access Intelligent Forms Suite to meet these needs.

“Access’s electronic forms management technology is proven to be effective and to integrate with MEDITECH,” said Owen Huett, Director of Information Systems at Angleton Danbury. “We want to be as paperless as possible, and recognized that Access’s solutions would help achieve this.”

Previously, an admissions clerk registered a patient in the MEDITECH HIS, and then retrieved hard copies of the required forms. When the patient got to a clinical floor, a nurse pulled the forms needed by their department – another time-consuming, laborious process. The challenge was compounded by a lack of forms standardization, and version control issues resulting from use of outdated forms.

Access Intelligent Forms Suite transformed this process. Now, when the patient is registered, the admissions clerk simply clicks a button, and all required forms are generated on demand, with patient demographics applied. The patient quickly completes the forms and applies a secure, electronic signature with Access e-Signature, via an LCD pad. Completed forms are sent directly into the correct patient’s EMR via seamless integration between the Access system and MEDITECH Scanning and Archiving (SCA).

“With Access’s Image Portal, we push e-forms into MEDITECH Scanning and Archiving without generating paper or manual indexing,” Huett said. “This is a huge time saver and we know the forms are going into the right medical record.”

The benefits don’t end there. Once registration is complete, the Access system generates the required clinical forms to a nurse’s station, helping clinicians proactively prepare for the patient’s arrival. A barcoded wristband is also created, which is enhanced by a patient photo taken by the registration staff – another way of ensuring positive patient identification.

“The ability to output e-forms and a barcoded armband at the same time is extremely valuable,” Huett said. “We also plan to make us of the armbands in supporting bedside medication verification.”

This is just one of the ways that Angleton Danbury intends to extend its Access solution. Huett and his team are considering using Access e-Signature to capture bedside consents and social services forms. In addition, the hospital sees potential in Access Universal Document Portal, which could capture output from the hospital's fetal monitors, standardize it and send it into the EMR via MEDITECH SCA – another paperless, hands-free process.

“Instead of us cutting up fetal monitoring strips, sticking them down and scanning them, we could use Access Universal Document Portal to easily and cost-effectively get them into EMRs,” Huett said.

At the 2012 HIMSS Conference in Las Vegas, leading healthcare IT blog HIStalk debuted its Booth Crawl Contest, which required participants from hospitals to go to the booths of HIStalk sponsors to collect the answer to a specific question, and then turn in their completed survey. Each person who got all the answers correct received an iPad 2. Rita Cartwright, senior business systems analyst at Tucson Medical Center, won an iPad from Access, the world’s leading provider of electronic forms (e-forms) management software for hospitals and a HIStalk Gold Sponsor.

“We’re proud to continue our long-standing partnership with HIStalk by participating in the HIMSS Booth Crawl, and would like to congratulate Rita on winning an iPad,” said Access founder and CEO Tim Elliott.

In late March 2012, Access account executive Brandy Taylor visited Cartwright in Tucson, Ariz. to deliver her prize. While at Tucson Medical Center, Taylor gave a demonstration of Access Evolution for iPad, which enables users to complete e-forms on the fly, apply a secure digital signature and submit for approval. Upon completion, forms are sent into the hospital’s enterprise content management (ECM) system and Access Evolution automatically updates business and/or healthcare systems. This advanced solution transforms previously paper-centric processes, including new employee onboarding, capital request approval and physician referrals, into secure, collaborative and paperless ones.

“I’m grateful to Access for the iPad, and was really impressed with how easy Access Evolution makes it to complete e-forms from anywhere,” Cartwright said.

The Booth Crawl was just one of the ways Access participated in HIStalk events at HIMSS 2012. Access was also named one of the top four healthcare IT vendors/consultants, as voted for by HIStalk readers.
